WiFi may not be the most glamorous part of event planning, we know, but it’s one of the most important parts. Ask anyone who’s had a network crash mid-speech, mid-payment, or mid-Instagram story, and they’ll tell you it matters!
The tricky bit is that event WiFi isn’t one-size-fits-all. What works for a 40-person wedding in a marquee won’t cut it for a 2,000-person festival. So before you get a quote from anyone, it helps to know what your WiFi needs are, so you can ask the right questions and dodge the wrong solution.

Why How Much WiFi isn’t a Simple Question
A lot of people assume event WiFi is just a beefier version of home broadband. Stick a router in a corner, job done. It isn’t, really.
Events throw a few curveballs that home WiFi never has to deal with:
- Loads of devices in one place at once. Everyone’s got a phone, plus laptops, card readers, ticket scanners, maybe a livestream camera.
- Short timeframes. You need it up fast, working perfectly, and often gone again the next day.
- Unpredictable locations. Fields, marquees, historic venues with three-foot-thick walls, clifftop car parks..
So the questions you need to ask yourself are how much wifi do you need, for how long, and where.
The Main Things that Shape Your WiFi Needs
Guest Numbers
The obvious one, but worth being honest about. A 30-person birthday do and a 3,000-person festival need completely different setups, not just a bigger version of the same thing. More guests means more access points needed, spaced out properly so no one’s fighting for signal.
Indoor, outdoor, or both
Indoor venues usually have walls, floors, and other structures to work around. Outdoor sites need more thought given to weatherproofing, power access, and covering wide, open areas without dead spots.
Plenty of events, weddings especially, are a bit of both, ceremony outside, reception in a marquee or barn. That needs a setup that flexes across the whole site.
What people are actually doing online
This is the one people forget. It’s not just are they browsing it
- Guests posting photos and stories in real time (light-ish load, but constant)
- Card payments and EPOS systems at bars or stalls (needs to be reliable, not necessarily fast)
- Livestreaming or video calls (this one’s hungry, and needs a strong, stable connection)
- Vendors running their own systems alongside your guest WiFi
How long you need it for
A one-day event and a three-day festival aren’t just different in scale, they’re different in what can go wrong over time. Longer events need more robust kit, and ideally someone keeping an eye on it throughout, not just switching it on and hoping for the best.
A Rough Starting Guide
Every event’s different, so take this as a general steer rather than gospel:
- Small private gatherings usually need a handful of access points, decent coverage across the main areas, and it doesn’t need to be hugely complex, just reliable.
- Mid-size business or corporate events often need stronger, more consistent WiFi for presentations, live streaming, and multiple people online at once, plus separate networks for staff vs. guests.
- Large-scale events need serious infrastructure. Multiple access points, proper load balancing, backup connectivity, and ideally someone on-site who can fix issues on the spot rather than over the phone.
If any of that also applies to card payments or ticketing, that’s worth flagging early. Payment systems generally want their own secure, separate network rather than sharing bandwidth.
